Terms of Service

1. Acceptance of terms

By submitting a booking inquiry, signing a booking contract, or making a payment, you confirm that you have read, understood, and agree to these Terms of Service. If you are booking on behalf of another person or organisation, you confirm that you have authority to bind them to these terms.

2. Booking & confirmation

A booking is not confirmed until both of the following have been received:

• A signed booking contract or written agreement via email
• Payment of the required booking fee (deposit)

Until both conditions are met, your date remains available to other clients. We strongly recommend securing your booking as early as possible, as dates fill quickly during peak season (October–May).

All bookings are subject to our availability. We reserve the right to decline a booking at our discretion.

3. Payment & fees

Booking fee

A non-refundable booking fee of 30% of the total package price is required to secure your date. This fee is deducted from the total balance due.

Balance payment

The remaining balance is due no later than 7 days before the event date, unless otherwise agreed in writing. Failure to pay the balance by the due date may result in cancellation of the booking, with the deposit forfeited.

Additional charges

Any services or add-ons agreed upon after the initial booking will be invoiced separately and are due before delivery of the final work. Travel fees for locations outside of Cavite will be specified in your quote.

Accepted payment methods

We accept bank transfer (BDO, BPI), GCash, and Maya. Cash payments may be accepted by prior arrangement.

4. Cancellation & rescheduling

Cancellation by the client

If you cancel a confirmed booking, the following applies:

• More than 30 days before the event — booking fee is forfeited; no further charge applies.
• 14–30 days before the event — 50% of the total package price is due.
• Less than 14 days before the event — 100% of the total package price is due.

All cancellations must be submitted in writing via email to ics.photog@gmail.com.

Rescheduling

We will make every effort to accommodate a date change. Rescheduling is subject to availability and must be requested as early as possible. One complimentary reschedule is permitted with at least 30 days' notice; subsequent changes may incur a rescheduling fee.

Cancellation by us

In the unlikely event that we must cancel due to unforeseen circumstances (illness, emergency, or force majeure), we will notify you immediately and issue a full refund of all payments made. We will also make reasonable efforts to refer you to a trusted photographer to cover your event.

5. Delivery of work

Edited photos and video files are delivered via a private password-protected online gallery within the timeframe specified in your package. Typical turnaround times are:

• Events & portraits — 7 to 14 business days
• Weddings & debuts — 4 to 8 weeks
• Same-day edits (if booked) — delivered on the day of the event

Rush delivery is available as a paid add-on. Delivery timelines begin from the date of the event, not the date of booking. We select the images to be edited and delivered at our professional discretion; all usable images will be included.

Gallery access links expire 60 days after delivery. We recommend downloading and backing up your files promptly. We are not responsible for files that are not downloaded before expiry.

6. Copyright & usage

Our copyright

All photographs, video footage, and edited works produced by Ivan Soriano Photography remain the intellectual property of Ivan Soriano Photography. This copyright is retained regardless of who commissioned or paid for the work.

Your licence

Upon full payment, you receive a non-exclusive, non-transferable personal licence to use the delivered images and videos for personal purposes, including printing, sharing with family and friends, and posting on personal social media accounts. Commercial use requires a separate written agreement.

Our portfolio rights

We reserve the right to use images from your event in our portfolio, website, and social media for promotional purposes, unless you request otherwise in writing before the event. We will always handle your images with discretion.

Prohibited uses

You may not sell, sublicense, or use the delivered work for commercial gain without prior written consent. You may not alter or add filters to delivered images in a way that misrepresents our work.

7. Client responsibilities

To help us deliver the best possible results, you agree to:

• Provide accurate information about the event, venue, and schedule
• Inform us of any venue restrictions regarding photography or videography (e.g. flash restrictions, off-limits areas)
• Ensure we have reasonable access to key moments and subjects
• Inform guests that photography and videography will take place
• Notify us of any changes to the event timeline as early as possible

We are not responsible for missed shots caused by restricted access, late schedules, or information not communicated to us in advance.

8. Limitation of liability

We take every precaution to ensure the safety and integrity of your images and footage. In the extremely unlikely event of equipment failure, data loss, or other technical failure beyond our control, our liability is limited to a refund of payments made. We are not liable for any consequential, indirect, or special damages.

We carry backup equipment to all events and back up files on-site where possible. However, no system is infallible, and we cannot guarantee against all forms of technical failure.

9. Governing law

These Terms of Service are governed by the laws of the Republic of the Philippines. Any disputes arising from or relating to these terms shall be resolved through good-faith negotiation first, and if necessary, through the appropriate courts of the Philippines.

10. Changes to these terms

We may update these Terms of Service from time to time. The version in effect at the time of your booking applies to that booking. Continued use of our website after changes are posted constitutes acceptance of the updated terms.
